How do I set a team member's access and expiry date?
Last updated: August 27, 2026
On your team's Team members tab, use Access to switch a member between Active and Inactive, and Active until to set a date after which their access ends automatically.
The two new columns
The Team members tab has an Access column and an Active until column. The Meeting as and Review activity columns have been removed.
Access switches a member between Active and Inactive. Setting a member to Inactive takes effect straight away and applies across every team they belong to, not just this one. It blocks them from starting any activity, including any activity Ovida adds in future.
Active until sets a date for access to end. Select Set date, choose the date, and the member's access switches to Inactive on its own once it passes. This suits pilots, cohorts and fixed-term programmes, where you would otherwise have to remember to switch people off.
⚠️ Setting a member to Inactive removes their access to every team in your organisation, not only the team you are viewing.
What an inactive member sees
A member whose access has ended sees a line at the top of the page telling them the date their access ended and asking them to contact their admin. Their activity cards are locked.
Anything they created before then, including meetings, roleplays and skills, stays in place.
Restoring access
Switch Access back to Active. If the member's Active until date has passed, clear or extend the date as well, otherwise the expiry will apply again.
