What are the meeting roles in Ovida?
Last updated: May 22, 2026
Every meeting in Ovida has three possible roles: Host, Guest, and Observer. Each role has different permissions, billing implications, and access to meeting data.
Host
The user who books the meeting. There is one Host per meeting and the Host can't be changed after the meeting is booked.
Has administrative control over the meeting
Has coaching analytics applied to their side of the conversation (not the Guest's)
Requires a paid subscription, either personally or through a team
Guest
The user invited to the meeting by the Host. There is one Guest per meeting.
Can join without completing signup or logging in beforehand
Doesn't need a paid licence, any user can be a Guest
Must sign up if they want to manage their own data
Can't administer the meeting, but once signed up they can delete it at any time
Observer
Someone invited by the Host to watch or review the meeting. A meeting can have unlimited Observers.
Can be removed by the Host at any time
Must be signed up to join in real-time or review afterwards
Can join live or silently
Has access to meeting analytics
Requires a paid licence that grants observer rights, either personally or through a team
A few things to know
A user can only hold one role per meeting. The same person can't be both Host and Observer in the same session.
Depending on subscription level, the same user can be a Host in one meeting and an Observer in another.
