How is my data protected as a meeting guest?

What happens to your data when you join a meeting recorded on Ovida, and what control you have over it.
When you join a meeting hosted by a coach, mentor, or trainer using Ovida, your conversation is recorded and analysed. This article covers what that means for your data and what control you have over it.
How your data is used
Your data is used only to help you and the host understand and improve communication. We don't sell, trade, or share your data with third parties for marketing.
Ovida is paid for by the professionals who use it. We make money by serving them well, not by monetising your data.
You can control your own data
You're not required to sign up to join a meeting, but if you do create an account (even after the meeting), you can:
See who has access to your meeting
Revoke that access at any time
Delete your data without needing the host's approval
Exercise your legal "right to be forgotten" under GDPR
Who can see your meeting
You and the host. Both of you can access the meeting data. Ovida also produces private metrics about your host's communication skills, which only they see.
Observers. Your host may share the meeting with a mentor or supervisor. They must get your consent first, and the identity of anyone with access will be visible to you. You can revoke consent at any time, either by asking your host to remove the observer or by contacting us directly.
Downloaded files. Your host may download the transcript, audio, or video for accreditation or review, but only with your consent.
How transcripts are processed
When meeting transcripts are sent to trusted third-party providers for AI analysis, Personally Identifiable Information is scrubbed first. Transcripts cannot be tied back to you, and providers don't store them after processing.
